I'm going to add to what Don Evans said below under T.M.I subject. Good suggestions.
You need to be clear that you are not an organization, club or association. When I dealt with Hollister (State of California)I always had to dance around that issue. Non-profit, no dues or membership fees, etc. The registration fees collected to cover the cost of renting the park and providing food and comfort to the event attendees only.
Now, if this is something new, that's a different matter. I have a friend that organizes several AHRMA GP events there for the last 20 years or so. Given that they're an association, I believe they carry liability insurance. I'll check with him today and find out what he does and who he goes to for insurance.
As you stated, it's a bump in the road that can be navigated.
